Our story
We were busy, tired and stuck. Then we fixed how we priced.
Cakulate was built inside a working custom cake shop. In under six months it took us from about $15,000 a month to over $25,000, and we are still growing.

Full calendar, flat bank account
We started as a cottage bakery and grew into a commercial kitchen with a lead cake artist and a team of college-trained bakers and decorators. The orders kept getting bigger: three tier weddings, sculpted cakes, hundreds of sugar flowers. We were booked most weekends. And for more than a year, revenue sat around $15,000 a month no matter how hard we worked.
We told ourselves we needed more orders. We did not. We needed to stop losing money on the ones we had.
Hundreds a month on software we barely used
Like most shops, we had collected a tool for every problem. Together they cost us hundreds of dollars a month, and not one of them could answer the question we faced on every order: what should this cake cost?
- An order form appCollected inquiries, then left us to price them by hand.
- Invoicing and paymentsSent invoices for prices we had guessed.
- A bakery management suiteRecipes and inventory, and no idea what a custom cake should cost.
- A scheduling toolBooked the calendar without knowing how many hours were already full.
- SpreadsheetsOne per question, out of date by Friday.
Every inquiry still ended the same way: one of us at the kitchen table at night, staring at a photo, guessing a number, then second guessing it.
Then we timed the work
We started timing every task on every cake, by who did it: baking, filling, stacking, smoothing, piping, each sugar flower. The numbers were uncomfortable. The more skill a cake needed, the more we had been underpricing it. Our lead artist’s hours on detailed work were the most valuable thing we sold, and our prices barely counted them. Some of our most admired cakes were paying us less than minimum wage.
So we built one tool that does it all
Those measured times, by skill level, became Cakulate. It prices a custom cake by the tasks it takes, at what we pay the people who do them, with overhead and a fair margin on top. Then it does everything after the price, too: the customer link they approve from their phone, the deposit, the order, the invoice, the calendar, the bake list and the decorating schedule. We canceled the rest.
What changed
- Our prices went up where the work was. Detailed cakes finally paid for the hours they took. Simple cakes stayed fair.
- We quoted in minutes, not evenings. Faster replies won orders that used to go to whoever answered first.
- Nobody on the team guessed anymore. Every quote came out the same careful way, whoever opened the message.
- We stopped saying yes to weeks that were already full. Capacity was visible before we booked, so we stopped burning out the team.
- One subscription replaced the pile. Less to pay for, less to log in to, nothing to copy between apps.
Same kitchen. Same team. Same customers, mostly. In under six months we went from about $15,000 to over $25,000 a month, and it keeps climbing. It changed our business, and honestly, it changed our weekends.
We still bake. We quote every order in our own shop with Cakulate. When you write to us, a baker answers. Tell us what you or your team need and we will build it.
Our own shop’s results. Every business is different, and yours will depend on your orders, your pricing today and your market.
