Cakulate

Made by cake artists, for the way we really work.

We decorate cakes too, and we got tired of half-baked software. Everything here exists because we needed it in our own shop. Solo artists get a fair price for their own hours from the first quote, and Cakulate grows with them. Shops get the tools they need, and a few they didn’t know they did.

How Cakulate compares

Most bakers use one of two kinds of tools today. Neither was made by anyone with buttercream on their sleeves. Here is what each one covers.

Priced from the real hours, by the person who does them

Every custom cake priced from timed tasks at the right person’s pay, so detailed work finally gets paid.

A smooth cake and one covered in hand-made flowers can serve the same 50 people. Cakulate prices the difference: each task is timed and charged at the pay of whoever does it, whether that is you or your baker, decorator or lead artist, with your margin on top. The starting times are not guesses. They were measured on real orders by our bakers and decorators, all graduates of an accredited college pastry program, at each skill level.

  • Real task times measured on real orders, by skill level
  • Separate rates for baking, decorating and detailed art
  • The same cake gets the same price, every time

Other tools: Calculators multiply by one guessed labor number. Per-serving charts ignore labor entirely. Nobody else starts you with measured times.

Inspiration photo in, timed task list out

Drop in the customer’s photo or paste their message. The assistant counts the work for you.

It reads the picture and counts the tiers, flowers, piping and toppers, turns each into a timed task from your library, and asks you only what a photo can’t show: servings, date, pickup or delivery.

  • Paste a DM, text or email and it pulls out the order
  • Add photos straight from Pinterest or Instagram links
  • Your rates and margin do the pricing, never a guess

Other tools: Some order tools read messages. None turn a design into timed, costed work.

Quotes that learn how your shop really works

Log how long a cake really took. Cakulate suggests better task times after a few orders.

After an order, enter the real minutes for the tasks you timed. When a task keeps running long or short across orders, Cakulate shows the difference and updates your library in one click, so every future quote is closer to the truth.

  • Suggestions only after 3 or more orders agree
  • Save finished orders as reference cases the assistant compares against
  • Your numbers, never another shop’s

Other tools: Every other tool keeps the same guess forever.

Knows when your week is full, and plans the kitchen

Get warned before you book a week that you or your team can’t handle. Every order’s work lands on the right day.

Set the hours you, or your team, have each week. When a new quote would overload your baking, decorating or detailed art time, you see it before you send the price. Booked orders are scheduled backward from the event: sugar work days ahead, baking two days out, finishing the day before.

  • Daily order limits, closed days, minimum notice
  • Production schedule by day and kind of work
  • Bake list, decoration punch list and pickup list built for you

Other tools: Order software shows a calendar of due dates. It doesn’t know how many hours are left.

Protection against underpricing

Warnings when a price slips below cost or your margin, smart trims when a customer has a budget, and local price ranges.

Cut a price and Cakulate tells you what it does to your margin. Customer has a budget? Get specific trims with new prices instead of a discount. Opt in to see what similar cakes go for at other shops in your state, shared anonymously.

  • Below-cost and below-margin warnings on every quote
  • Fit their budget: priced trims, not discounts
  • Local price ranges from 5+ shops, never named

Other tools: Calculators give a number. Nothing checks it against your costs or your market.

Wedding pricing built in

Per-serving floors for big tiered cakes, charges for extra tiers, and fair pricing for small ceremony cakes.

Three tiers and up check the hourly price against a per-serving minimum for the design level. Extra tiers carry a surcharge for the structure and risk. One and two tier ceremony cakes are priced like celebration cakes so you don’t lose small weddings.

  • Floors by design level, simple to showpiece
  • Delivery and on-site setup priced separately
  • Deposits and an order agreement for every booking

Other tools: You keep these rules in your head and apply them by hand.

You or your team: real pay, real pace

A solo artist or a full shop: each person’s pay sets the rate, and newer bakers and decorators get more time.

Add the people who make your cakes, what you pay them and their skill level. Assign them to an order and the price reflects who is actually doing it, with pace based on how long beginner, intermediate and advanced bakers and decorators really take. Not sure what to pay? Get suggested rates for your state from government wage data.

  • Solo mode for one-person businesses
  • Beginner, intermediate and advanced pace
  • Admin time as overhead, a flat fee, or off

Other tools: One labor rate for everyone, if there is one at all.

Customers say yes from their phone

A clean quote link to accept or ask for changes, a deposit button, and reminders that send themselves.

Customers see what’s included and the price, never your costs. They accept, pay the deposit through your link, and get follow-ups, balance and pickup reminders, and a review request after the event, all in your words.

  • Follow-up, deposit, balance, pickup and review emails
  • Editable wording for every email
  • Review requests skip customers with a complaint

Other tools: Order software has some of this. Few connect it to the price.

The business side, handled

Invoices, receipts, sales tax, an order form for your website and a pickup menu for ready-to-buy items.

Every order gets a printable invoice, receipt and order agreement, with sales tax and tax-exempt wholesale customers handled. Put your order form link on Instagram and requests arrive as draft quotes with photos attached.

  • Monthly sales tax report
  • Order form and presale menu for your website
  • Calendar feed for Google, Outlook and Apple

Other tools: Order software covers this well. Cakulate does it too, so you need one tool, not two.

Ready-to-buy products, costed properly

Cupcakes, cookies and display cakes priced from recipe, packaging and labor, with batch sizes that lower the cost.

Build products from your ingredient library with real package prices. See the per-unit price and how it drops with bigger batches. Track stock and get a shopping list when you run low.

  • Retail and wholesale prices per product
  • Monthly break-even planning
  • Inventory and shopping list

Other tools: Recipe costing is common. Labor and batch scaling usually aren’t.
