Wedding cake consultations that book, not browse

A wedding consult can be the best hour of your week or the most expensive. The difference is whether the couple leaves with a clear next step. Whether you run consults yourself or a team member handles them, the goal is the same: spend real time only with couples who fit your date, your style and your price.

Qualify before you schedule

Before booking a tasting, ask for the date, the guest count, the venue and a rough budget. If the date is taken or the budget is far from your starting price, you have saved everyone an afternoon. An order form on your website can collect all of this before the first message.

A short reply you can copy when the budget does not fit:

"Thank you for thinking of us. Our wedding cakes start at $X per serving, so for 120 guests a simple design begins around $Y. If that works for your plans, I would love to set up a tasting. If not, I completely understand, and congratulations on your wedding."

It is kind, it is clear, and it is not an apology.

Show a starting price early

Couples relax when they know the range. Share a per-serving starting point for your simplest wedding cake, and explain what moves the price up: tiers, sugar flowers, hand painting, delivery distance. A worked example helps them picture it. If your simplest design starts at $7 per serving and a couple expects 150 guests, the starting point is $1,050 before delivery. Add sugar flowers and a hand painted tier and that might become $10 per serving, or $1,500. When couples see the math, they stop asking for "just a simple cake" and then describing a showpiece. Our wedding cake pricing guide covers per-serving ranges in more depth.

Charge for tastings, or credit them

A tasting box costs you ingredients and time. Many cake artists charge a fee and credit it toward the order when the couple books. Serious couples do not mind. Common approaches:

  • A boxed tasting of 3 to 6 flavors for pickup, often priced from $25 to $75
  • A seated tasting at set times, sometimes priced higher because it holds a calendar slot
  • Group tastings on one day a month, where several couples come at once and prep is done once

Whatever you charge, state the credit clearly: "The tasting fee comes off your order total if you book within 14 days." A deadline keeps the decision moving.

Run the consult on a checklist

A loose conversation is where hours disappear. Bring the same list to every consult so nothing is missed and nothing is promised by accident:

  • Date, ceremony and reception times, venue and any venue rules for vendors
  • Final guest count estimate and how many servings they actually want
  • Tiers, shape and any separators or stands
  • Flavors and fillings per tier, including allergies or dietary needs
  • Decoration: flowers (sugar or fresh, and who supplies fresh ones), painting, texture, toppers
  • Delivery, setup time, access at the venue and who the day-of contact is
  • Any matching dessert table items, cutting service or anniversary tier

Write down each element as they describe it. That list becomes the quote.

Design in the room, quote the same day

The longer a couple waits for a price, the cooler they get. Sketch the design together, list the elements, and send the quote within a day while they are still excited. If you need longer to price an unusual element, say so in the room: "I will have your quote to you by Thursday evening." Then meet that deadline.

Avoid sending detailed design sketches before a deposit. A rough sketch in the room is part of the consult. A finished design document is work, and it belongs to booked clients.

Make booking one step

The quote should include the deposit, the balance due date and your terms, with one link to approve and pay. Our post on cake deposits and cancellations covers how much to take and when. Many wedding cake artists ask for 25 to 50 percent to hold the date, with the balance due two to four weeks before the wedding.

Follow up once, then let it go

Follow up once after three days if you have not heard back. A message you can copy:

"Hi, just checking in on your cake quote for the 14th. I am holding the date for you until Friday. If you have any questions about the design or flavors, I am happy to help."

If there is no reply after that, let it go. Chasing couples who have chosen someone else costs time you could spend on the ones who said yes.

Mistakes that cost bookings

  • Booking tastings without knowing the date is open
  • Giving free tasting boxes to anyone who asks
  • Waiting a week to send the quote
  • Leaving the deposit and terms for a second email
  • Discounting in the room because the couple looked surprised

Send couples a clear quote with a deposit link the same day as the consult. Read our wedding pricing guide.
